This notice explains what PoolLock UK Ltd. does with personal information collected through this website, and what you can ask us to do about it. It is written to the UK GDPR and the Data Protection Act 2018.

PoolLock UK Ltd. is the data controller for this website. That means we decide why your information is collected and what happens to it.

PoolLock UK Ltd. is a trading name of PoolLock Limited, registered in England and Wales, company number 08206955. The registered office is the address above.

To ask anything about this notice, or to exercise any of the rights below, write to factory@poollockuk.com or call +44 1293 77 44 14. A person reads that address; it is the same one an enquiry goes to.

We are not required to appoint a Data Protection Officer, and we have not appointed one. Enquiries go to the address above.

What this site collects

What you type into a form and, only if you agree to it, a count of the pages you visited. This site carries no advertising and no social media tracking, and the fonts and every script are served from this domain. Nothing is requested from anyone else until you say so.

If you ask for a quotation

The enquiry form asks for the size and condition of your pool, which cover you are interested in, your postcode, your name, your email address, and optionally your telephone number and any notes you add. If you tell us you are a builder or dealer, it also asks for your company name and roughly how many covers a year you fit.

Why: to prepare and send the quotation you asked for. In data protection terms this is processing necessary to take steps at your request before entering into a contract: UK GDPR Article 6(1)(b).

If you ask a question

The question form asks for your name, your email address and your question.

Why: to answer you. This is our legitimate interest in responding to people who contact us: Article 6(1)(f). We think you would expect a reply, and answering a question you asked cannot reasonably prejudice you.

If you allow us to count visits

Google Analytics records the pages you looked at, roughly which country the visit came from, whether you were on a phone or a computer, and whether you asked for a quotation, asked a question, applied as a trade partner or played the film of a cover closing. It does not tell us your name and we never join it to an enquiry.

Why: to see which pages earn their place. This runs on your consent and nothing else: Article 6(1)(a), and regulation 6 of the Privacy and Electronic Communications Regulations for the storage itself. It is not loaded at all until you press Allow, and you can withdraw at any time from the cookie policy, which also lists exactly what is stored and for how long.

If you tick the marketing box

The enquiry form has a separate, optional box for occasional news about covers and servicing. It is never pre-ticked, and leaving it empty has no effect on your quotation.

Why: your consent: Article 6(1)(a), and regulation 22 of the Privacy and Electronic Communications Regulations. You can withdraw it at any time, by replying to any message we send or by writing to the address above. Withdrawing is as easy as giving it, and it does not affect anything we did before you withdrew.

Who else sees it

We do not sell your information, and we do not share it for anyone else’s marketing.

• The installer who covers your area. A quotation usually has to be fitted by somebody local, so we pass your enquiry, including your postcode, to the PoolLock installer or dealer for your area. This is the point of the postcode, and the enquiry form says so where you enter it.
• Companies in our group, where your enquiry belongs to a market they serve rather than the United Kingdom.
• Our hosting and email providers, who process the data on our instructions in order to run the site and deliver the mail. They are processors: they may not use your information for their own purposes.
• Google, as our analytics processor, and only if you allowed it. This is visit counting rather than anything from your enquiry: Google never receives your name, your email address or your postcode.

We may also disclose information if the law requires it.

Where it is held

Enquiries are sent to us by email and held in our mailboxes. This site does not build a customer database from the form: the quotation form stores nothing in the website itself, beyond a short-lived note of the pool size you described so the confirmation screen can read it back to you. That note contains no name, email address, telephone number or postcode, and it is discarded after one hour.

Our hosting is in Norway. Where any provider processes data outside the United Kingdom, we rely on the safeguards permitted by Article 46, usually the UK International Data Transfer Addendum to the EU Standard Contractual Clauses.

That applies to Google Analytics if you allow it: Google Ireland Limited and Google LLC process the visit data in the United States under that same Addendum. In Google Analytics 4 your IP address is used at the moment of collection and discarded before anything is written to a server. Declining the banner means no transfer happens at all, because nothing is sent.

How long we keep it

We keep an enquiry for 24 months, so that we can answer follow-up questions, honour a quotation, and support a cover we have fitted. After that it is deleted.

Marketing consent is kept until you withdraw it.

Your rights

Under the UK GDPR you can ask us to:

• Give you a copy of the personal information we hold about you.
• Correct it if it is wrong or incomplete.
• Delete it, where we no longer need it for the purpose you gave it for.
• Restrict what we do with it while a question about it is resolved.
• Object to processing we base on legitimate interests, and to direct marketing at any time. An objection to marketing is absolute, and we will stop.
• Receive it in a portable form, where we processed it by consent or for a contract.
• Withdraw consent you have given, at any time.

Write to factory@poollockuk.com. We answer within one month. There is no charge unless a request is manifestly unfounded or excessive, and we will say so plainly rather than quietly charging you.

No decision about you is made by automated means, and we do not profile you.

Giving us your details is your choice

Nothing on this site obliges you to give us personal information. If you would rather not use a form, telephone +44 1293 77 44 14. The only consequence of not filling in a form is that we cannot send you a written quotation, because we would have nowhere to send it.

Complaining

If you think we have handled your information badly, please tell us first. It is usually the fastest way to fix it. You also have the right to complain to the Information Commissioner’s Office at any time, and you do not have to raise it with us first.

Changes

If this notice changes, the date at the top changes with it. Where a change affects what we do with information we already hold, we will tell the people it affects rather than relying on them to re-read this page.
